PITS26 Vendor Proposal

Ponies In The Smokies is a 6-day multifaceted event which culminates at Friday’s Car Show and Saturday’s Cruise-In both hosted at the Sevierville Convention Center(SCC).  We will have upwards of 1,000 registered cars onsite between the outside car show and special indoor displays and 80+ Vendors in attendance.  Attendees have convenient access between the indoor and outdoor attractions across the property. 

This proposal specifically outlines the cost of vendor space at the SCC for Friday and Saturday only with both indoor and outdoor options.  Contact the PITS Crew for all other sponsorship opportunities beyond the Vendor options listed below.

Indoor Exhibit Hall Vendor Space

10’x25’ (10 feet wide and 25 feet deep) – $370

20’x25′ (20 feet wide and 25 feet deep) – $635

30’x25′ (30 feet wide and 25 feet deep) – $900

40’x25′ (40 feet wide and 25 feet deep) – $1,165

50’x25′ (50 feet wide and 25 feet deep) – $1,430

Includes 2-days of vending inside the SCC main exhibit hall during show hours.

  • Locked exhibit hall doors with security surveillance at night.
  • Electricity within your booth space is available separately from Griffin Electric Company for $90 if reserved/paid in advance or $150 day of directly to Griffin Electric Company (electricity service form must be submitted and paid separately to Griffin Electric Co).  PITS26 Griffin Electric Registration Form
  • WiFi connection is free at the SCC.
  • Placement based on space needed, neighboring businesses, prior year(s) attending and on a first come/first pay basis.
  • If using a display vehicle(s) within your space please note the “safety and access restrictions” noted below.

Indoor Front Hallway Vendor Space

10’x10’ (10 feet wide and 10 feet deep) – $125

20’x10’ (20 feet wide and 10 feet deep) – $225

30’x10’ (30 feet wide and 10 feet deep) – $325           

*Front hallway is just inside the main entrance Rotunda at the SCC and situated between the north and south doorways that lead into the exhibit hall. Attendee amenities include Food Court, Beverage & Snack Stations, ATM and Restrooms along the front hallway.     

  • Includes 2-days of vending inside the SCC front hallway during show hours.
  • Same features as the Exhibit Hall space above except display vehicles are prohibited

Outdoor Parking Lot Vendor Space

10’x25’ (10 feet wide and 25 feet deep) – $265

20’x25’ (20 feet wide and 25 feet deep) – $425

30’x25’ (30 feet wide and 25 feet deep) – $585

40’x25’ (40 feet wide and 25 feet deep) – $745

  •  Includes 2-days of vending on the outside surface lots of the SCC during show hours
  • Armed Guard security surveillance from 7pm to 7am each night
  • Placement based on space needed, neighboring businesses, prior year(s) attending and on a first come/first pay basis.
  • No restrictions on display vehicle(s) safety and access that indoor vendors have.

Advertising Package

$300

This can be purchased in addition to your vendor space or stand-alone so your company has a presence at PITS without physically attending.

  • Company Logo on the PITS Website (1 full year), all PITS Social Media outlets, looped on SCC flat screen TVs during the show, Sponsor Banners and Welcome Boards.
  • Pre-recorded Company announcements during the show
  • Option to a Sponsor’s Choice Award during awards presentation

*(PITS provides the trophies, but company rep(s) pick and present their award)

The following equipment is available at the SCC for rent. (supplies are limited)

Vendor Parking Lot

  • Complimentary designated parking for one vendor support vehicle at the SCC during the 2-day event.  This is referring to the vehicle that gets you to and from the show.  We will have the outdoor gravel lot(limited to 30+ vehicles and fills up fast) and also the SCC Parking Deck(height limits) that is a short elevator and inside corridor walk to the SCC Rotunda front entrance.

Vendor Trailer Parking

$60 for the week

  • PITS has designated trailer parking for all participants approx. 1mi from the SCC.   
  • It is a fenced and locked lot at the Sevierville County Fairgrounds.
  • Manned during the day and armed guard security nightly from 7pm-7am. 
  • Once you become a paid vendor and if you need access to the trailer parking lot contact the Vendor Coordinator at poniesinthesmokies@yahoo.com for details to register.

Trailer lot credentials will be provided upon arrival at PITS on vendor load-in day (Thursday).

Vendor Requirements and Restrictions

Indoor Display Vehicle Requirements

  • Fuel tanks MUST BE BELOW ¼ TANK (Fire Marshall inspected).
  • Batteries MUST BE DISCONNECTED (Fire Marshall inspected).
  • Windows down, unlocked and a key under the floormat or console/glovebox for emergency access (Fire Marshall inspected).
  • No running vehicles inside during show hours.
  • Vehicles must be inside and parked during show hours.
  • Display vehicles will load in on Thursday and remain in place until after awards on Saturday afternoon (see PITS Crew for accommodations).

Indoor Restrictions

  • Pets are prohibited from inside the SCC with the exception of Service Animals as outlined in the Americans with Disabilities Act guidelines. (ADA.gov – ADA Requirements for Service Animals)
  • No outside food or beverage on the SCC grounds.  This is strictly prohibited and enforced by the SCC Staff and Sevierville Police Department.

Outdoor Restrictions

  • Canopies/EZ Ups/Banners/Flags must be secured appropriately for the weather.
